How grant payments work

How and when we make grant payments, and what you or your organisation need to do to receive them. 

If this is your organisation's first Wellcome grant 

Read your award letter to find out:

  • how to report on grant spending
  • how and when your organisation will get grant payments.

Before you can receive funds, we need to receive:

  • full bank details for where your organisation would like the grant payments to be sent. You must provide different bank details for each currency you receive the grant payments in.
  • a completed Common Reporting Standard tax form

If you received your award letter on or before 25 July 2025, you must provide your bank details using our bank details form [DOCX 79KB].

If you received your award letter on or after 26 July 2025, you must provide your bank details through our finance system, Oracle Fusion. Your organisational approver will receive an automated email to create your organisation's Oracle Fusion account, through which they can provide your organisation's bank details.

Finance reports are submitted online, through the Wellcome Funding platform. The organisation approver or spend reporter in your organisation’s workspace can submit finance reports. Existing administrators in your organisation's account can add new team members to the account, for example finance managers. 

If you do not have an organisation account on the Wellcome Funding platform, or are unsure who at your organisation already has access to the organisation account, contact fundingsupport@wellcome.org. We will then set up an account so you can complete and submit the organisation spend report.

Receiving payments after the grant money has been spent

Our standard way of paying grant funds is after an organisation has spent money on the grant. You need to submit organisation spend reports to claim back the grant funds spent every quarter.

Receiving payments before the grant money has been spent

In exceptional circumstances, Wellcome will pay grant funds before money has been spent. Organisations need to request funds covering what they expect to spend in the coming quarter.

This payment type must be agreed with Wellcome before the grant starts. You will not be able to request funds before grant money has been spent unless Wellcome has assessed and approved this payment type before the grant start date.

Final payments for grants that have ended

When your grant reaches its end date, you will need to submit a final expenditure report to close the grant and claim any remaining grant funds.
